How we handle your personal information, why we need it, and the rights you have under UK data protection law.

Who we are

Procure Group Ltd is the data controller for the personal information described in this policy. You can reach us at info@procuregroup.uk or on 0333 335 6152.

What we collect

  • Contact details — your name, email address, telephone number and preferred contact method.
  • Property details — the address, postcode, access and parking notes, and what you have told us about the problem.
  • Photographs and documents you choose to upload, including existing survey reports.
  • Appointment, quotation, invoice and payment records, and messages exchanged with us.
  • Website measurement data — with your consent, whether your visit followed a Google advert and whether it led to a booking.

Why we use it, and our lawful basis

  • To arrange and carry out inspections and remedial works — performance of a contract, or steps taken at your request before a contract.
  • To send appointment confirmations, reports, quotations, invoices and aftercare information — performance of a contract.
  • To keep records of surveys, works, warranties and certificates — legal obligation and our legitimate interest in defending our work.
  • To take payment and prevent fraud — performance of a contract and legitimate interests.
  • To measure the performance of our Google Ads advertising — consent, which you give through the cookie banner and can withdraw at any time.

Advertising and cookies

We use Google Ads conversion tracking (Google tag AW-18161154624) to see whether our adverts lead to genuine bookings. It runs only if you accept measurement cookies. We use Google Consent Mode v2, so all advertising and analytics storage is denied by default until you choose. When a booking is confirmed we send Google the booking reference, the inspection fee excluding VAT and the currency (GBP) — not your name, address or telephone number. Who we share it with

  • Our surveyors, technicians and approved subcontractors, so they can attend and carry out the work.
  • Our email delivery provider, so appointment and document emails reach you.
  • Stripe, if you choose to pay online. We never see or store your full card details.
  • Google, for advertising measurement, where you have consented.
  • Professional advisers, insurers or authorities where we are legally required to disclose information.

We do not sell your personal data or share it for unrelated marketing.

How long we keep it

  • Enquiries that do not become work: 24 months from your last contact.
  • Survey reports, works records, warranties and certificates: 15 years, so a warranty can be honoured and our advice evidenced.
  • Invoices, payments and tax records: 7 years, as required by HMRC.
  • Advertising measurement data: no longer than needed for reporting, and in line with Google's retention settings.
  • Your cookie choice: 12 months, after which we ask again.

Your rights

Under UK GDPR you can ask us for a copy of your data, ask us to correct or delete it, object to or restrict how we use it, ask for it in a portable format, and withdraw consent where consent is our basis (for example advertising cookies). Email info@procuregroup.uk and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.

Security and changes

Your records are held in access-controlled systems, encrypted in transit, and only our staff and appointed contractors who need them can see them. If we change this policy we will update the date at the top of this page.
